Build OneDrive Folder Structure for SMEs
Concrete steps to set up file storage in OneDrive Business Basic.
Step 1: Sign in to Microsoft 365
Open a browser and go to portal.office.com. Sign in with the company account tied to the Microsoft 365 Business Basic plan. The plan costs 5.60 euros per user per month according to the January 2026 Microsoft price list. Skip this step and cloud storage access is blocked, so every later action fails.
Step 2: Create top-level folders
Switch to the OneDrive web interface. Create the four root folders “Clients”, “Projects”, “Admin” and “Archive”. Add a short description in the properties field for each. Without this structure the storage stays flat and later searches become messy.
Step 3: Create subfolders by reference number
Open the “Clients” folder. For every active client create a subfolder using the customer number from accounting. Use the free tool “Bulk Create Folders” from the Microsoft Store, version 2.3. Skip this step and files pile up in the root folder, destroying overview.
Step 4: Set permissions
Select the “Admin” folder and share it with management only. Choose the “View only” option. Skip permission assignment and unauthorized staff gain access to sensitive documents.
Step 5: Install sync client
Download the OneDrive sync client version 24.123 from the Microsoft Download Center and install it on every workstation. Link the account. Without the client local changes stay offline and sync errors appear.
Step 6: Set up automatic archiving
Inside the “Archive” folder build a year-based substructure. Move files older than 24 months manually. How many companies actually complete this step cannot be stated with certainty. What often fails here is permissions: the sync client refuses the move when the folder was previously edited offline.
