Step 1: Check account
Open calendar.google.com with the business Google account. The free version has been available without extra charge since 2026. Without an account nothing can be created.
Step 2: Create calendar
Click the plus sign on the left and choose “New calendar”. Name it “Time blocks 2026”. Skip this step and everything mixes into the private calendar.
Step 3: Set colour and visibility
Assign the colour orange to the new calendar and set sharing to “Only me”. Without colour distinction you lose track once several appointments exist.
Step 4: Add first time block
Create a recurring event every Monday from 9 to 11 a.m. titled “Focused work”. The series runs until 31 December 2026. Without recurrence each block must be entered manually.
Step 5: Add further blocks
Add one block for email (daily 2–3 p.m.) and one for administration (Wednesdays 10–11 a.m.). Google Calendar stores them automatically. Miss one block and the week quickly becomes chaotic.
Step 6: Configure notifications
Turn on a 15-minute email reminder for every block. The setting sits under “Notifications” in the calendar details. Without a reminder the block is easy to overlook.
Step 7: Test and adjust
Switch to week view and verify the blocks appear. A frequent error here is accidentally deleting the entire calendar instead of a single event. The calendar can be restored from the trash, yet all blocks must be recreated.
A November 2024 FAZ publication states that structured scheduling helps with deadlines. Whether the same applies to businesses with more than ten employees cannot be reliably quantified.
