Step 1: Verify Notion account on Plus plan
Open notion.so and sign in with the existing work account. Check under Settings – Subscription whether Plus at 10 euros per member per month is active. Without this plan the AI features are completely missing.
Step 2: Open existing task database
Navigate to the database you have used for at least three months. Click the three dots top right and select “Enable AI”. The more entries the database holds, the more usable the suggestions get. With an almost empty database little comes back that you can work with.
Step 3: Connect AI link to calendar data
Add a new property of type “Relation” in the database and link it to your Google Calendar import. Notion AI reads appointments from it and suggests matching tasks. Skip this step and suggestions stay purely text-based, ignoring your actual schedule.
Step 4: Run first AI query
Type “/ai” in a new line and enter: “Create five tasks for next week from existing entries.” Notion AI generates a list within eight seconds. Review every result before accepting it.
Step 5: Update results weekly
Create a recurring task every Monday at 8:00 a.m. Run the same query again and compare with the previous week. Without this routine the list becomes outdated after ten days at most.
Step 6: Fix permission error
Many users receive the message “Insufficient rights” after step 4. Open Workspace settings, go to “Members” and explicitly grant the AI feature read access to all databases. This often happens on the first attempt because the admin account is not identical to the user account.
