Set up Microsoft To Do for recurring tasks

Step 1: Link business email to Microsoft account

Open the Microsoft Store on Windows 11 and install Microsoft To Do version 2.114. Sign in with the existing Microsoft 365 work account already used for Outlook. Skip this step and later calendar sync fails, leaving tasks isolated.

Step 2: Create first list for recurring work

Inside the app create a new list called Daily. Add five tasks: empty inbox, check invoices, start OneDrive backup, update customer data, prepare weekly report. Set each to repeat daily. Without this structure tasks stay one-off and never reset automatically.

Step 3: Assign categories and priorities

Give tasks colour categories: red for finance, blue for customers. Mark two tasks high priority. This takes roughly two minutes. Without categories overview disappears once more than ten tasks exist.

Step 4: Turn on timed reminders

Enable push notifications for every task at 8:00 a.m. Choose all devices. Skip this step and tasks appear only in the calendar without phone alerts.

Step 5: Pair the mobile app with the same account

Install To Do on the phone from App Store or Play Store. Sign in with the identical account. Verify sync. Without this step access on the road is missing and duplicate entries appear.

Step 6: Test Outlook calendar connection

Create a 9:00 a.m. appointment in Outlook. Switch back to To Do. The task should show as due. The link uses Microsoft Graph. If it fails, check permissions in the Microsoft 365 admin centre.

Step that often fails: Export lists as backup

Export the lists once a month as CSV from the web version at todo.microsoft.com. Save the file in OneDrive. Many users skip the export. After an account problem or device change every task is lost and must be rebuilt manually. The export option has existed since version 2.100.

The setup requires a Microsoft account with at least 5 GB storage. Pure Gmail users gain little from switching.
