Step 1: Connect Outlook to Microsoft 365
Open the desktop version of Outlook from Microsoft 365 Business Basic. The plan costs 6.00 € net per user per month (as of August 2026, microsoft.com). Sign in with your company account. Skip this step and rules cannot be managed centrally later.

Edit both rules and add the exception “sender is in the address list ‘Company internal’”. Internal messages stay in the inbox this way. Missing the exception sends important internal coordination into project folders.

Enable the option “run rules on the server” in the rule settings. This works only with Exchange or Microsoft 365 accounts. With POP3 or IMAP accounts rules run only locally on the device. This step is often skipped, forcing separate configuration on every device.
